Meeting was called to order at 7:35

Homeowner issues: no Homeowners present.

Issue 1: Ed will be
providing an updated listing of homeowners so that we can move forward on the
Directory. Jeanne will take over the
project from Kevin.
Issue 2: Brief
discussion about Vector Security and current processes. Ed was going to
find out if we can key in all of our own changes so that we do not have to pay
service calls/fees for them to come out and activate/deactivate homeowners.
Develop the written procedures so that we understand how to make the changes
ourselves. We are usually charged $75
for the service call plus however long they are there.
Issue 3: Review of delinquent accounts. Motion was made and carried that the Board will deactivate that homeowner’s pool card if a Homeowner is delinquent and hasn’t paid within 60 days of due date. Can we suspend card due to non payment matters? New process will be detailed in Spring newsletter and will appear with the annual invoice as comments to give residents ample notice of this new process.
Issue 4: Budget review of year 2009. We had an awesome
year and are slightly under budget with actual results. We have to ask Bramhall how much the basin
inspections will cost as we will have to fund those going forward. Bill is going to close down the Buckeye
account. Review of who is on the bank accounts and who
needs to be on the accounts going forward.
Issue 5: Ed will
send Jeanne the HPHOA insurance policy to review.
Issue 6: New basin discussion – assumption is when the
homes surrounding that basin are completed, final work will occur on that
basin. In the meanwhile, a motion was made to ask developer to spray basin for mosquitos due to standing water
issues. Ed pointed out that Lorain
County Board of Health will spray. Ed
will discuss basin turnover expectations that the Board has with K &
C. What can we do as a board to accept
or reject a basin? See separate memo to
Mike Bramhall regarding other basin oriented matters.
Issue 7: Reserves Analysis conversation. It costs about
$3-$4,000 to hire a firm to prepare an Reserve
analysis. Ed pointed out that there is a new law about to be introduced that give Homeowners rights
regarding the reserves a Board should have and when is too much?
